Do you need a CRM yet?
You probably do if any of these sound familiar:
- Leads arrive by email, WhatsApp, phone and Facebook, and some get missed.
- Nobody is sure who called whom back, or when.
- You cannot say which ads or channels bring paying customers.
- Leads go cold because follow-up depends on someone remembering.
If you get fewer than ten enquiries a month and one person handles them all, a well-organised spreadsheet may be enough for now. Above that, a CRM pays for itself in leads not lost.
Step 1: Write down your sales process
Before looking at software, list the stages a lead goes through. For a typical service business:
New enquiry → Contacted → Qualified → Proposal sent → Won or Lost
Note who does what at each stage, and what slows deals down. This becomes your CRM pipeline.
Step 2: Decide your must-haves
| Feature | Why it matters |
|---|---|
| Automatic lead capture | Website forms, Facebook lead ads and Google Ads lead forms flow in without copying and pasting |
| WhatsApp integration | Essential in India; send instant replies and log conversations |
| Follow-up tasks and reminders | The main reason small businesses buy a CRM |
| Pipeline view | See every deal by stage at a glance |
| Mobile app | For teams who work away from a desk |
| Source tracking | Records which ad or campaign each lead came from, including the Google click ID |
| Simple reporting | Leads, conversion rate and revenue by source |
Nice-to-haves, such as email marketing, quotes and invoicing or a customer portal, can wait.
Step 3: Shortlist two or three options
These are popular with small businesses in India, the UK and Australia. Plans and prices change often, so check each vendor's current pricing page.
| CRM | Strengths | Good for |
|---|---|---|
| Zoho CRM | Affordable, widely used in India, many integrations, offers a free edition for very small teams | Indian SMBs wanting room to grow |
| HubSpot CRM | Free core CRM, very easy to use, strong marketing tools on paid plans | Businesses that also want email marketing |
| Pipedrive | Simple, visual sales pipeline | Small sales teams in the UK and Australia |
| Freshsales (Freshworks) | Built-in phone and email, clean interface | Teams that make lots of calls |
| LeadSquared | Built for high lead volumes, strong in India | Education, healthcare, real estate, financial services |
Step 4: Questions to ask before you buy
- Can our website form and Facebook lead ads send leads in automatically, without paid add-ons?
- Does it connect to WhatsApp Business API, and at what extra cost per message?
- Can it store the Google click ID and export closed deals for Google Ads offline conversion import?
- How much does it cost when we add two more users?
- Can we export all our data if we leave?
- Is support available in our time zone?
Step 5: Set it up properly
Most CRMs fail because they are set up half way, and the team falls back to WhatsApp and spreadsheets. A good setup includes:
| Part of the setup | What it means |
|---|---|
| Pipeline | Your stages and the reasons deals are lost |
| Lead sources | Website forms, Facebook and Google lead forms and WhatsApp, all connected and tested |
| Instant reply | An automatic email or WhatsApp message to every new lead |
| Follow-up tasks | Call within 5 minutes, then follow up after 1, 3 and 7 days |
| Weekly report | Leads and wins by source |
| Training | A short session for everyone who will use it |
